Post title: Director of Logistics and Transportation

1. Organizational Context/Background
A full time position Logistics and Transportation Officer is currently available at the Ministry of Internal Security-SWS, the incumbent, he/she must have administrative skills and the ability to handle multiple priorities and meet tight deadlines with minimal supervision. Excellent communication and organizational skills are essential to this position.
2. Job description
The incumbent will carry out the following tasks:
Word process all documents and reports;
Assist the Communications and Learning Specialist by providing logistic support to media releases, briefings, communications activities and other’s Ministry’s promotion events.
Format, design and prepare documents for printing and copying, upon final approval of the Minister, DG or Departmental Directors of the Ministry.
Keep all reports filed systematically in both electronic and hardcopy formats.
Coordinate meeting arrangements, including informing team members, booking meeting rooms and keeping management/staff calendars update.
Ensure all Ministry’s administrative activities are coordinated effectively;
Coordinate workshop/training events as required, including hotel liaison, participant confirmation, invitations, travel arrangements, supplies and materials, equipment hire and providing point of contact support for participants at events.
Coordinate and provide logistical support for Ministry’s activities, including travel arrangements and field visits.
Provide administrative support to the various Ministry’s department.
Review supplier contracts and contracts for terms and conditions.
Schedule and coordinate vehicles and drivers, including driver booking schedules;
Support the Head of Operations and Finance with timesheets.
3. Reporting
Logistic and Transportation Officer directly reports to the Director General or the Ministry of Internal Security.
4. Recruitment Qualifications and Competencies
Education: Bachelor’s Degree in Business Administration would be required.
Experience:
At least three years of experience in Transportation field.
Knowledge and understanding report writing and office administration
Competencies:
Knowledge and understanding of donor reporting requirements;
conscientious and self-motivated with an ability to work as a team member and on own initiative;
Ability to work as part of a multidisciplinary team,
IT competencies in Word, Excel, Power Point, and internet.
5. Language requirements:
Fluent in written and spoken Somali and English
