Primary purpose of the position:
Under supervision of Senior Finance Coordinator finance and Admin officer is responsible for day-to-day task management within the organization with focus of admin and finances activities in Baidoa. This role requires multitasking across range of responsibilities including works closely with Finance Manager, senior finance coordinator, Country HR/Admin Coordinator, finance Officer, Procurement &Logistics Coordinator, and relevant staff to ensure or relevant duties are well coordinated and managed in a timely manner.
Finance Responsibilities
- Check and verify the documents submitted for payment if approved by line manager and related staff before preparation of payment documents.
- Record accounting transactions, including coding of payment vouchers.
- Entering processing of the financial data for Baidoa and other offices into Unit 4 system and into Quick Books.
- Process and make payments via bank or cash, when necessary, as per approved budget and ensure the proper authorization is obtained for all disbursements and proper financial documents are used
- In cooperation with relevant program or support staff, ensure proper accurate documentation for monthly payment of bills for service, employment, lease contracts
- Maintain the transparent, accurate, user friendly financial filling system of all financial documents
- Manage and replenish Petty cash, according to the procedures and prepare monthly closing of petty cash.
- Assist Finance Manager/senior finance coordinator in facilitation of internal and external audit procedures as required.
- Acting Finance Officer/ Senior Finance Coordinator in his/her absence
Administration Responsibilities:
- Maintain up to date staff records and verify personnel information as necessary.
- Lead SWS office registration certificate and monitoring expiry date of the office registration.
- Booking all accommodation of the SWS for the staff.
- Preparation of ID documentation for newly appointed personnel Secure management of personnel records for all personnel in Southwest state.
- Ensure a proper filing system and all relevant documents fulfilling audit requirements are in
Assist with completion of necessary reports or compilation of Administration information as requested.
- Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
- Perform any other duties given by line manager when needed
Skills and Qualifications
- University Bachelor degree in a relevant field
- Minimum 3 years working experience in accounting and administration
- Knowledge and experience of working on accounting software Quick Books, Seage.
- Previous experience working in INGOs
- Ability to analyze payment documents before processing
- Detail oriented, accountability, task prioritizing skills
- Excellent communication and coordination skills
- Ability to establish relationships with other relevant stakeholders instantly and easily
- Problem solving skills
- Fluency in English
- Flexibility for travelling when needed
- Confident in security and safety management
- Ability to work under pressure and in a stressful environment
- Cultural sensitivity and inter-cultural communication skills
